Casting Timeline 101: How Far in Advance Should You Book Child or Family Talent?

One of the most common questions we get from brands and production companies is some version of: how far out do we need to come to you? The honest answer is that it depends on a few variables, and understanding what those variables are will help you plan more effectively and give you the strongest possible pool of talent to choose from when it matters most.
Start With a Solid Brief
Before we can talk about timelines, we need to talk about the brief. The clock on casting does not really start until we know exactly what we are looking for.
Brands often come to us with a general sense of what they need while still working through the finer details internally. That is completely understandable, production timelines have a lot of moving parts. But from a casting standpoint every day spent waiting for a finalized brief is a day not spent pulling talent for you. Proceeding with unclear details means you may end up with something that does not quite match what you were looking for, which only adds more time. The clearer and more specific your brief is when you come to us, the faster we can move.

How Specific Your Brief Is Affects Availability
We have the family and child talent. The focus is availability, and availability is directly affected by how specific your brief is and when you come to us.
If you are looking for a few individual child talents with a general sense of age and look, we can move through that efficiently and finding a fit with availability is likely. In other cases you may be looking for a very specific grouping of children, or a complete family unit with a particular dynamic, a defined energy, or a specific cultural background. The families that fit that brief most precisely may also have commitments on a compressed timeline. The more specific the brief, the more important it is to give us enough runway to confirm that the right people are available for your dates.
The shoot type and experience level factor in here too. A high level commercial shoot that requires proven on camera experience draws from a more specific pool than a lifestyle shoot with more flexibility. The more curated the ask, the more lead time helps ensure you are seeing your best options.
In most cases our network will have exactly what you need, but if you want us to broaden the search beyond our network for even more options, we are happy to do that. This also adds time. Giving us enough runway means you get the full range of what is available rather than a narrower slice of it.
Child Labor Laws and Permits Add Time to the Clock
If you are new to working with child talent, this is one of the most important things to understand before your first shoot. Child labor laws and permit requirements vary by state, and in markets like New York and California the requirements are significantly more involved than what you may encounter elsewhere. Florida has its own set of regulations as well, and regardless of where you are shooting, compliance is not optional.
On the production side this means making sure the proper permits and documentation are in place before a child steps on set. On the talent side, families may need to obtain their own permits and in some states specific account setups are required as well. These requirements have specific application windows and processing times, which means they need to be factored into your overall timeline from the start rather than treated as something to sort out closer to the shoot date.
Whether you are new to working with child talent or have done it before, building in enough lead time to navigate this process is essential. Coming to us early means we can flag what is needed on the talent side and give you enough runway to handle what is needed on the production side without it becoming a last minute obstacle.

You Are Working Around Real Family Schedules
This is the piece that brands coming from adult talent casting sometimes underestimate. When you book child and family talent, a parent is on set for the duration of the shoot. This means you are not just finding available talent, you are finding families whose schedules can accommodate your shoot day with enough notice to actually make it work.
Many families today have two working parents, other children with activities and commitments, and work schedules that require advance notice to rearrange. Most families in our network are genuinely willing to move things around for the right opportunity, but they need enough warning to do that without it becoming a logistical challenge. The less notice you give, the smaller your available pool becomes, not because great talent does not exist but because great talent has full lives.
School Schedules Matter Too
For shoots during the school year, weekday shoots during school hours require families to make arrangements for their children to miss school. Some families are comfortable with this while others are not, and in most cases this requires advance notice to the school itself. Weekend shoots tend to open the pool significantly. Summer is generally the most flexible time across the board.
If your shoot date falls during a school week and you have flexibility on the day, flag that in the brief. It can make a meaningful difference in how many kids or families are realistically available to you.
Have a Few Tentative Dates in Mind
Coming to us with a range of possible shoot dates rather than a single fixed date can open up your casting pool significantly. This is usually only possible when you’re planning in advance rather than at the last minute. We maintain an ongoing sense of our talent's general availability and flexibility, but confirming specific dates and details to compile a shortlist requires a direct check-in with the families and kids that you’re interested in and who fit your casting brief. If your date is fixed and your first choice is not available, you default to your second. A little flexibility in your shoot date means we can often align with the talent you want most or who best fit the casting brief rather than working around a hard constraint.
Even a window of a few possible days can meaningfully expand your options and give you a stronger final result.
The More Time You Give Us, The More You Get
The earlier you come to us with a clear brief and a reasonable shoot date or range, the stronger your options will be. Last minute is not impossible and there is always great talent ready to move quickly, but the talent who are the most specific match for what you need may not be available on a compressed timeline.
